Monk fruit certificates and COA: match each document to the product

OEM & Supplier GuidePublished by Guilin Hengliyuan Biotech

Match monk fruit specifications, batch COAs, factory certificates and market files to the right company, product and scope before purchasing.

Start with the exact product, then match each document to its issuer or holder, product scope and date. A batch COA answers a different question from a factory certificate, and an extract file does not automatically cover a finished sweetener blend.

Hengliyuan publishes product and factory documents for buyer review. Use this guide to decide which files apply to your extract, blended ingredient or branded retail pack before sending a document request.

The illustration groups specifications, COAs, origin and lot records to show the document-matching task. Its “APPROVED” stamp and check marks are fictional, not an issued certificate, a batch-release decision or proof that a product is approved for a market.

Separate the four document questions

Use the document for the question it can answer. Keep the product name and revision or batch reference attached to the file.

DocumentBuyer questionCheck before using it
Product specificationWhat material is being offered?Composition, assay or sweetness specification, form and revision.
Batch COA or test reportWhich sample or batch was examined?Identity, batch reference, test items, methods and report date.
Factory or system certificateWhich entity and production scope are covered?Holder, site, scope, issuer and validity.
Market or retail product fileWhich product and market does this record concern?Product identity, responsible entity, market and relevant conditions.

Read reported results separately from the specification limits or reference criteria. Keep the analyte, method, unit and reporting basis with the value. A report for a submitted sample keeps that sample scope; it does not become a release document for every later batch. “Not detected” is not the same as a measured zero. Read the report’s stated detection or quantification limit and reporting convention; do not invent a limit if it is absent. A test item that is not reported also cannot be treated as a passing result.

Read the Hengliyuan, extraction-factory and Indonesia files separately

Our document center identifies files for Guilin Hengliyuan Biotech, supporting extraction factory Guangxi Yongfu BHY Biotech and Indonesia partner PT. Rekan Manis Indonesia. Read the holder and scope on the actual document. A supporting factory certificate or partner-market file must not be presented as certification of every Hengliyuan SKU. Keep the seller, manufacturer, importer or representative, certificate holder and testing party in their stated roles. A different name is a point to clarify, not something to silently replace with the brand name in your records.

Match the formula before using a product report

For the monk fruit retail series, confirm whether the selected formula contains erythritol, mogrosides and steviol glycosides, or erythritol and mogrosides. The pack weight alone does not identify the formula. Ask whether the report covers that exact material and whether a current batch document is available. A report on an ingredient may support the ingredient part of your product file, but it is not automatically a test on the complete blend. Match the selected formulation and sample or lot identity. If the formula or grade changes, review which documents still apply rather than keeping the old file under a new product name.

Resolve a mismatch before relying on the file

A familiar product name or a file called “certificate” is not enough. Identify the exact mismatch so Hengliyuan can check the right document rather than sending an unrelated file.

What does not match?Compare with the selected productClarification to request
Company or siteSeller/manufacturer roles and the holder or site named on the file. The relationship between the named entity and the material being supplied; retain each role as stated.
Formula or gradeComplete ingredient declaration, selected grade and specification revision.Whether the file covers this composition or only one ingredient or a different formula.
Sample or batchReport number, sample name, lot reference and dates.Whether this is a historical submitted-sample report or the relevant supplied-batch document.
Test or reporting basisThe required analyte, method, unit, result and any stated reporting limit. The missing item or basis; do not read an unreported test as passed or ND as zero.
Certificate or market scopeNamed product/site, conditions, dates and the destination-market requirement. The applicable current file or status clarification; use the issuer’s verification route where provided.

Keep the report or certificate number and version/date with the clarification. If a current or applicable file is not established, leave that point open in the purchasing review rather than describing the product as covered. Requesting a document does not establish that it is available or applicable.

Check the scope of Halal and other requested files

Tell us the product and destination market for your document review. For Halal, organic or kosher requests, identify the holder, covered product, validity and scope on the relevant file. The Indonesia partner file is a reference for its stated scope; it does not by itself answer a different market or product request. Read any product attachment as well as the front page. Do not expand a named extract or ingredient scope to every blend, pack size or future formulation. Confirm applicability for the actual product and destination rather than relying on a logo alone.

Read FDA registration paperwork accurately

FDA states that it does not issue food facility registration certificates or recognize such certificates issued by private businesses. Treat registration-related paperwork as a document to verify, not a product approval claim.

Send a document request that identifies the gap

Start with the exact product or grade, the document or test item you need, and the destination market when known. If you are reviewing an existing file, include its report/certificate number and version or date, then identify what does not match. A request can begin with that specific gap. Add intended use and the relevant sample, lot or formula reference when available; packaging, quantity and sample needs can follow if the discussion also includes a quotation. Hengliyuan will review the available files against the selected product and request rather than assuming one document covers every product.

Common questions

Is a factory certificate the same as a product COA?

No. A factory or system certificate identifies its holder, site and scope. A COA or test report concerns the stated material, sample or batch and the reported test items. Use each for the question it answers and match its identity to the product being reviewed.

Ask about matching documents
Can a historical test report stand in for the supplied batch’s COA?

Do not assume that. Keep the historical report’s stated sample and date, then check which document corresponds to the selected supply lot. A result on one submitted sample does not establish the results of later batches.

Ask about matching documents
Can an extract document be used for a retail blend?

It may support the ingredient part of the product file if it is the relevant ingredient. It does not automatically become a test or certificate for the complete retail blend. Match the full formula, product identity and document scope.

Ask about matching documents
Does ND mean a tested constituent is zero?

No. Read the result with the report’s stated detection or quantification limit, unit, method and reporting convention. Do not invent a missing limit or treat an unreported test item as a passing result.

Ask about matching documents
Does one Halal document cover every product and destination?

Do not assume that. Review the holder, named products or attachment, validity and conditions against the selected product and destination. A partner-market file does not by itself establish coverage for another formula or market.

Does a food-facility registration certificate mean FDA product approval?

No. FDA states that it does not issue food-facility registration certificates or recognize private businesses’ registration certificates. Treat registration-related paperwork as something to verify, not as a product-approval claim; the FDA clarification is linked in this guide.

What should I send when a file is missing or does not match?

Give the product or grade, the needed file or test item, and the market when known. Include the existing document number/date and the specific mismatch if you have a file already. Add the relevant formula or batch reference when available; a document enquiry does not require a complete quotation brief.
