How to Scale Up a Sweetener Blend from Sample to Production
From small sweetener samples to larger trials and production: approval checks, document sign-off and batch acceptance.
Once the small sample tastes satisfactory, Hengliyuan arranges a larger sample for the customer to confirm again in the intended application before regular production.
Small samples primarily help compare formulations and refine taste. Larger-sample approval lets customers further validate the selected option in their own products and preparation process. The approved larger sample, formulation and specifications form the basis for regular production.
Agree what each sample stage has to establish
Keep the approved small sample as the taste reference while planning the larger trial. Write down the formulation version, material identity, intended application and decision for the next stage. A larger quantity alone does not establish that production is ready.
| Stage | Decision and record to carry forward |
|---|---|
| Small sample | Select the taste direction and identify the sample and formulation version. |
| Larger application trial | Compare the selected material in the intended food and preparation process; record the conditions and any unresolved gap. |
| First production batch | Use the agreed formulation and specification, then apply the agreed sampling and acceptance checks. |
| Repeat order or change | Identify the accepted version and batch requirements; review affected checks before a material, ratio or process change. |
The sample amount, equipment trial, acceptance criteria and approval responsibilities are agreed for the project. This sequence does not specify a fixed trial quantity, number of batches or commercial lead time.
Larger-sample approval: focus on actual application performance
Test the larger sample using the food recipe, dosage and preparation method planned for production. Keep the original sugar formulation or approved small sample as a control. Do not taste only the sweetener itself. For tea drinks, use the actual tea base; for coffee, follow the actual coffee recipe; for baking, compare complete finished products. Customers can focus their records on the following:
| Approval item | What to compare |
|---|---|
| Sweetness profile | Whether onset, peak, decline and residual sweetness approach the target |
| Overall sweetness | Whether the actual dose meets the sweetness target |
| Original flavor | Effects on original aroma and taste, and any unwanted aftertaste |
| Temperature performance | Whether sweetness and mouthfeel meet requirements at actual use temperatures |
| Dissolution performance | Complete dissolution under actual preparation conditions, residue or changes after cooling |

Select these checks according to the application. For baked products, also assess browning, internal structure and texture after cooling; for products sold packaged, continue observing performance after packaging.
Record what changes when the batch gets larger
Keep commercial sweetener dose and finished batch size on the same stated mass basis. The existing dosage guide shows the arithmetic for scaling an unchanged concentration; that calculation does not establish dissolution, mixing uniformity or finished-product acceptance. Compare the actual conditions before deciding that a different taste requires a new formula. The following record can be copied into your own trial log.
- Use the existing dose and pilot-batch calculation guide
- Read the existing powder-premix uniformity and sampling guide
| Comparison | Record for the approved reference and the larger trial |
|---|---|
| Material and dose | Commercial product, sample or batch ID, formulation version, actual mass added, and whether the stated batch mass is the mix before processing or the finished output. |
| Preparation and equipment | Food base, addition order, any premix or solution, equipment, actual load, mixing or heating conditions, and cooling or serving temperature. |
| Transfer and packing | Where the material was sampled, transfer or discharge stage, pack identity and time; keep separate samples identifiable. |
| Result and next action | Method and units, individual results, comparison with the agreed target, unresolved difference, and whether to retain or revise the selected version. |
For powder blends, equal pack weights do not establish equal composition. Agree where to sample and what the measurement is intended to check; a combined sample can conceal differences between individual locations or portions. Do not multiply mixing time or equipment speed by the batch-size ratio and treat it as proof of uniformity.
If the larger sample is unsatisfactory, describe the gap from the target
Send Hengliyuan the sample ID, actual dose, preparation conditions and specific differences to discuss further adjustments. For example, if sweetness is right but residual sweetness lasts too long, focus on aftertaste. If the hot drink is satisfactory but changes after cooling, record both temperatures. If the larger sample seems different from the earlier small sample, first check whether the food base, dose, temperature and preparation were consistent, then investigate the formulation and process. Do not decide to change the formulation solely on the statement that it differs from last time. When adjustments are needed, retain revision records and confirm again after the change to avoid mixing versions.
Approve the formulation documents alongside the larger sample
Once the larger sample passes, confirm its ID, complete ingredient names, proportions, target sweetness and finished-product specifications as the basis for the formal order. Hengliyuan provides this formulation and specification information. If several versions were tested, identify the final choice. Later ingredient substitutions or ratio changes require the affected requirements to be checked again. Larger-sample quantity, preparation conditions and approval arrangements, as well as order quantity, packaging and delivery requirements, are discussed for each project. Keep the approved reference, document revision and acceptance record linked. A change to the ingredient blend, the customer’s food recipe, equipment or packaging should identify which earlier checks remain applicable and which need repeating. A specification and a batch COA serve different purposes; use the documents applicable to the selected material rather than treating a sample approval as approval of every future batch.
Production batches still require agreed acceptance checks
Larger-sample approval establishes how the selected option performs under the test conditions. Regular supply must still meet the specifications and acceptance requirements agreed by both parties. On receipt, customers can check product name, batch number, packaging and documents, then sample and test as agreed. Keep the confirmation results as a shared reference for repeat orders. From selecting a formulation with small samples to confirming actual performance with a larger sample and accepting production batches, each stage has a clear basis for later communication. Agree the test methods, units and acceptance criteria before interpreting the results. If a batch appears different or falls outside the agreed requirements, retain its identity and the relevant results, and resolve the discrepancy against the agreed acceptance process before treating it as accepted.
Separate fresh taste approval from performance after packing
A fresh larger-sample tasting answers a different question from performance through storage. For a packaged product, retain the actual pack, storage conditions, elapsed time and preparation or serving conditions with each observation. Select checks for the real product: for example, a beverage may need checks after cooling, while a baked product also needs its cooled structure and texture assessed. Use an agreed storage plan for the intended product and pack. A short trial, warm-storage screen or satisfactory first tasting does not by itself establish the finished product’s shelf life. Changing the blend or processing can also change what needs checking; keep that review separate from the purchase quantity.
Start the scale-up discussion with the sample and the actual product
Tell Hengliyuan what the blend will be used in, the final sales market and the stage you have reached. If a sample has already been tested, add its ID and the specific result or problem. You can begin before the complete trial log, proprietary recipe or final purchasing quantity is ready. As details become available, add the selected version, actual dose and batch basis, preparation or equipment conditions, packaging and the checks you want to agree. Keep the larger-sample amount, first order and expected repeat demand separate. Quantities, document needs and delivery arrangements are reviewed for the project.
Common questions
Does a satisfactory small sample mean the blend is ready for production?
It establishes the selected taste direction under those test conditions. Confirm the larger sample in the intended food and process, identify the agreed formulation and specifications, and retain the production-batch acceptance checks.
Discuss sample approval and scale-upHow large should the next sample or trial be?
Agree it for the intended application, equipment and checks. This guide does not set a universal sample amount, minimum order or number of successful batches. Keep the sample quantity separate from the first production order and repeat demand.
Discuss sample approval and scale-upCan we scale the sweetener amount in direct proportion to batch weight?
For an unchanged concentration, arithmetic scaling requires the same stated mass basis and the same commercial material. It does not prove mixing, dissolution, taste or physical performance at the larger scale. The linked dosage guide explains the calculation and its limits.
Discuss sample approval and scale-upWhat should we check when a larger trial tastes different?
Compare material and formulation identity, food base, actual dose, batch basis, preparation, temperature and sampling first. Describe whether the gap is sweetness, lingering taste, flavor, dissolution or a physical result. Retain the revision record if a change is then made.
Discuss sample approval and scale-upWhich documents should match the approved sample?
Identify the sample and formula version, complete ingredient names and proportions, target sweetness and finished-product specifications. Link later changes and their review to that reference. Production-batch identity, applicable documents and agreed acceptance results remain necessary.
Discuss sample approval and scale-upDoes approval of the larger sample establish shelf life?
No. Fresh tasting, performance after packing and production-batch acceptance answer different questions. Record the actual pack, storage conditions and elapsed time under the agreed product-specific plan; a short screening trial does not establish a shelf-life claim.
Discuss sample approval and scale-upMust we complete a spreadsheet or share a full recipe before contacting Hengliyuan?
No. Start with the product, final market, stage and sample ID or problem if known. Use the tables in your own trial record and add details as available. A complete proprietary recipe or fixed order quantity is not required for the first discussion.
