BUYER PROJECT NOTE

A Swiss tabletop sweetener project: from prototype brief to sample dispatch

OEM & Supplier GuidePublished by Guilin Hengliyuan Biotech

A Swiss tabletop sweetener project: comparing formulation routes, matching prototype documents and dispatching samples for drink applications.

A Switzerland-based team worked with Hengliyuan on tabletop sweetener prototypes for coffee, matcha and tea. The project moved from a formulation brief to prototype documents and sample dispatch.

The buyer’s question

The development team wanted to compare several sweetener formulations for coffee, matcha and tea. The brief separated sweetness from aftertaste, cooling sensation, mouthfeel and dissolution, and asked about prototype documents, shipping and future packaging. The sweetness comparison target was clarified during the exchange rather than assumed from the phrase “sugar replacement”.

The approach agreed with the buyer

Hengliyuan developed the initial prototypes and sent the corresponding COA, SDS and sample photographs. The buyer acknowledged those files and chose to receive the completed prototypes first rather than wait for an additional formulation direction. Sample identity, document scope and transport arrangements were handled as separate steps.

Sample dispatch and the next step

Hengliyuan dispatched the prototypes, and the buyer acknowledged the shipping update. The buyer had already received the COA, SDS and prototype photos. The next step was to try the selected formulations in the intended drinks and share feedback.

What another buyer can take from this project

The useful lesson is the decision sequence: define what the drink needs, connect the paperwork to the prototypes, and agree which samples to send. In this project, the buyer chose the completed prototypes first. That kept the immediate sample decision separate from a possible additional formulation direction.

Step in this projectWhy it mattered
Clarify the comparison targetThe exchange clarified what “sugar replacement” meant instead of treating that phrase as a complete sweetness specification.
Connect prototypes and filesThe COA, SDS and photographs accompanied the developed prototypes; the buyer acknowledged those files before the shipping update.
Choose the dispatch scopeThe buyer selected the completed prototypes first, leaving the intended coffee, matcha and tea comparison as the next application step.

For your own trial, keep the comparison traceable

Use the same sample identity in the document pack and the trial notes. Coffee, matcha and tea are different bases; compare candidates within each drink rather than treating one result as the answer for all three. Agree the reference and preparation conditions before interpreting a sweetness difference.

Record for your projectWhat to make clear
Reference and doseThe chosen sugar or current-formula reference, drink volume and measured sample dose; do not infer a replacement ratio from a product name.
Material and documentsSample code or formula version, batch where available, and the applicable specification or other supplied files. Confirm file scope for the selected material.
Preparation and servingThe actual drink base, mixing method, temperature and serving conditions, held consistent for the comparison being made.
Useful feedbackSweetness, aftertaste, cooling, mouthfeel and dissolution observations linked to that sample and drink, followed by the difference you want the next prototype to address.

Discuss documents and packaging as separate decisions

The case shows a prototype document exchange, not a standard file pack for every order. Tell us which documents your team needs and confirm their availability, scope and matching material. A COA, an SDS and a sample photograph serve different purposes; none replaces your assessment of the finished drink or retail pack. Packaging can be discussed while application trials develop. Keep a bulk blend request separate from a request for filled retail packs, so the sample identity, document needs and later quotation refer to the same agreed route.

Start with the drink, market and comparison goal

Tell Hengliyuan which drink you are developing and the taste or handling difference you want a sample to resolve. Distinguish your company location, the sample destination and the final sales market when they differ. You do not need a complete recipe, final pack design or confirmed order quantity to begin. Add known ingredient restrictions, packaging, quantity, document and sample needs as available. The first discussion can establish which formulation direction and comparison would be useful.

Common questions

What did the Swiss buyer want to compare?

The brief covered sweetener formulations for coffee, matcha and tea, with sweetness, aftertaste, cooling, mouthfeel and dissolution considered separately. The sweetness comparison target was clarified during the exchange.

Discuss a custom sweetener sample
Which documents were exchanged in this project?

Hengliyuan sent the corresponding COA, SDS and sample photographs, and the buyer acknowledged them. For your project, confirm the available files and their scope for the selected material.

Why were the completed prototypes sent first?

The buyer chose to receive those prototypes instead of waiting for an additional formulation direction. It was the sample scope agreed for this project, rather than a requirement that every buyer follow the same sequence.

How should we give feedback on a drink sample?

Keep the sample identity, actual drink, measured dose, reference and preparation conditions with the comments. Describe the specific sweetness, aftertaste, cooling, mouthfeel or dissolution difference you want to work on.

Do we need a complete formula and retail design before contacting Hengliyuan?

No. Start with the drink, final sales market and comparison goal. Add available ingredient restrictions, packaging, quantity, document and sample needs as the discussion develops.
